Learning Groups

Organize the participants of your cBook into groups or cohorts.

Introduction

Learning Groups let you organize the participants of your cBook into groups or cohorts. Each learning group comes with its own configuration for user registration, community features, and user rights. You can create new groups, copy them from other cBooks, and configure how users join and interact within each group.

To access Learning Groups, open your cBook's settings and select Learning Groups from the sidebar menu.

The Learning Groups Table

The main view shows a table listing all learning groups configured for this cBook. Each row displays the group name and action buttons for editing or deleting the group.

You'll also see a special CREATOR Preview group — this is automatically created and cannot be edited or deleted. It's used internally for previewing the cBook within the Creator.

If a group was copied from another cBook, a small info icon appears next to its name, showing which cBook it was copied from.

Creating a New Learning Group

Click the Add Learning Group button above the table. A dialog opens with two tabs:

Create New

  1. Enter a name for your learning group (minimum 3 characters)
  2. Click Create Learning Group

The group is created with sensible defaults — you can fine-tune all settings afterwards by editing the group.

Copy from cBook

This option lets you reuse learning group configurations from other cBooks:

  1. Switch to the Copy from cBook tab
  2. Use the search field to find the source cBook
  3. Click on a cBook to see its available learning groups
  4. Select one or more groups using the checkboxes
  5. Use Select All or Deselect All for convenience
  6. Click Copy Selected Groups

You can select groups from multiple cBooks before confirming — switch between cBooks and your previous selections are preserved.

Note: Preview groups and groups named "Default" are excluded from copying. Groups that have already been copied to your cBook (by name) are also filtered out.

Editing a Learning Group

Click the pencil icon next to a group in the table to open the editing dialog. Here you can configure all aspects of the learning group.

Group Name

Change the name of the learning group using the text field at the top.

Auto-detect Email

Check Try to automatically use user email addresses from LMS for Community Features if you want the system to pull email addresses from your Learning Management System automatically. This is useful for enabling personalized community features without requiring manual email entry.

User Registration

Choose how users join this learning group:

  • Import users manually — You provide a list of participants via an Excel file (XLSX). When this option is selected, additional import controls appear (see below).
  • Users will register via Self-Sign-In — Users register themselves when they first access the cBook.

Manual User Import

When manual import is selected, the following options become available:

  • Download Example — Downloads a sample Excel template showing the expected format
  • Choose XLSX file — Upload your participant list

You can also enable:

  • Create an "All" group by default — Automatically creates a group containing all imported users
  • Create a "Trainer" group by default — Automatically creates a separate group for trainers (requires exactly one user in the XLSX file to be marked as trainer)

Important notes on manual import:

  • User IDs must be formatted as text. In Excel, prefix pure numbers with a single quote (write '123 instead of 123)
  • You can repeat the import as often as needed, but always provide the complete participant list
  • Users omitted from a subsequent import will appear as "inactive" to other users in the Activity Center, but all their previous communication is preserved

Automatically Assign Users to a Group

Check Automatically assign all users to a group to have every user automatically added to a designated group. When enabled, enter the desired group name in the text field below (e.g., "All participants").

User Pool for the Activity Center

This setting determines which users are visible to each other in the Activity Center:

  • Only users that have already accessed this cBook — Users only see other participants of this specific cBook
  • All users that have already accessed an arbitrary cBook — Users see participants across all cBooks in your organization

User Rights

Configure what participants are allowed to do within the learning group:

  • Users can manage working groups — Allows participants to create and manage their own sub-groups
  • Users can rate documents — Allows participants to rate bonus materials (this option is only visible if the document rating feature is enabled for your organization)

Deleting a Learning Group

Click the trash icon next to a group in the table to delete it. Note:

  • You cannot delete the CREATOR Preview group
  • A minimum of two groups must remain — the delete button is disabled when only two groups are left
