The Asset Manager

Introduction

The Asset Manager is where you upload, organize, and manage all files used in your cBooks — images, videos, audio files, documents, and more. You can access it whenever you need to add media to your content: from slide editors, the Page Builder, cBook settings (logo, cover, background), and bonus material.

The Asset Manager can also be opened directly from the Creator to browse and organize your files independently of any specific editing task.

Layout Overview

The Asset Manager is divided into three main areas:

  • Left sidebar — A folder tree for navigating your file structure, plus buttons for creating new files, folders, and AI-generated images
  • Center area — A file grid (or list) showing the files in the current folder
  • Right panel — A detail panel that appears when you select a file, showing its preview, metadata, and action buttons

At the top, a toolbar shows your current location, breadcrumb path, and action buttons.

Locations

Files in the Asset Manager are organized by location. Each cBook has its own location, and there is also a Master folder that is shared across all cBooks.

Switching Locations

Click the location dropdown in the top-left corner of the toolbar to switch between locations. If you have many cBooks, use the search field to find the one you need. The Master folder is always available and is useful for files you want to reuse across multiple cBooks (e.g., your organization's logo).

Within each location, you can create a folder structure to keep your files organized. Use the folder tree in the left sidebar to navigate. You can also use the breadcrumb trail in the toolbar to jump back to parent folders.

Uploading Files

There are two ways to upload files:

Drag and Drop

Simply drag files from your computer and drop them onto the file grid or onto a specific folder in the sidebar. A message ("Drop Files to upload") confirms the drop zone is active.

File Picker

Click the New button in the sidebar or in the center area (the current folder) and select New File. A file picker dialog opens where you can select files from your computer.

Supported File Types

The Asset Manager accepts the following file types:

  • Images: JPG, JPEG, PNG, GIF, SVG, WebP
  • Video: MP4, WebM
  • Audio: MP3, OGG, FLAC
  • Documents: PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, and various OpenDocument formats (ODT, ODS, ODP, etc.), CSV, XML, JSON, Apple iWork formats (KEY, Numbers, Pages)
  • Other: Font files (TTF, WOFF, WOFF2, EOT), subtitle files (VTT, SRT, SUB)

File Upload Warnings

Some file types trigger warnings before upload:

  • Unsupported audio/video formats (WAV, MOV, AVI, etc.) — These may not work in all browsers
  • Unsupported image formats (TIFF, PSD, BMP, etc.) — These may not display in all browsers
  • Documents with macros (DOCM, XLSM, PPTM) — May contain malicious code
  • Archives (ZIP, RAR) — May contain malicious code

You can still upload these files.

Dangerous file types are blocked entirely and cannot be uploaded.

Filename Requirements

Filenames may only contain: letters (a–z, A–Z), numbers (0–9), spaces, dots, dashes, and underscores. If a filename contains unsupported characters, the Asset Manager will warn you and suggest a corrected name.

Duplicate Files

If you upload a file with the same name as an existing file, you'll be asked whether to replace the existing file or create a new file with a modified name.

Managing Files

Selecting Files

Click a file in the grid to select it. The file is highlighted and the detail panel opens on the right. To select multiple files, click the checkbox in the top-left corner of each file card. Use Cmd+A (Mac) or Ctrl+A (Windows) to select all files in the current folder.

Grid and List View

Toggle between two display modes using the view button in the toolbar:

  • Grid view (default) — Shows files as thumbnail cards in a responsive grid
  • List view — Shows files in a table with columns for name, created date, updated date, and file size

File Preview

When you select a file, the detail panel shows a preview:

  • Images are displayed as thumbnails
  • Audio files show a player with playback controls
  • Video files show a video player with playback controls
  • Other files show a file type icon

For a larger preview, click the preview button (eye icon) in the toolbar.

File Actions

With a file selected, the following actions are available from the toolbar menu (three dots icon) or the detail panel:

  • Rename — Change the file name
  • Replace — Upload a new version of the file, keeping the same reference across your cBook
  • Move — Move the file to a different folder (a folder picker opens)
  • Copy — Copy the file to a different folder
  • Download — Download the file to your computer
  • Delete — Delete the file (with confirmation dialog)

When multiple files are selected, you can delete, move, or copy them in bulk.

File Details

The detail panel has two tabs:

  • Details — Shows file metadata: file name, type, file size, dimensions (for images), creation date, last updated date, and URL. You can also add or edit a file description for accessibility purposes.
  • Linkages — Shows where the file is used across your cBooks, with a count of references. This helps you understand the impact of modifying or deleting a file.

Editing File Names and Descriptions

Double-click the file name in the detail panel (or click the edit icon) to enter edit mode. The same character restrictions as uploads apply. For descriptions, click Add description or the edit button to write or update the description.

Folder Management

Creating Folders

Click New in the sidebar and select Folder. Enter a name for your folder and confirm. The new folder appears in the tree.

Organizing Files into Folders

Use Move or Copy from the file actions to organize files into folders. A folder picker opens where you can browse and select the destination. Folders without write permissions are shown as disabled.

AI Image Generator

The Asset Manager includes an AI Image Generator that can create images from text descriptions.

  1. Click New in the sidebar and select AI Image
  2. In the dialog, enter an image description describing what you want
  3. Choose a format: Square, Portrait, or Landscape
  4. Enter an image name
  5. Click Create image and wait for the image to be generated
  6. Once ready, click Upload image to add it to your current folder

Subtitles

For video and audio files, the detail panel includes a Subtitles section where you can manage subtitle tracks:

  • Add subtitle — Upload a subtitle file (VTT format) with a name and language code
  • Edit — Change the subtitle name, language code, or file
  • Delete — Remove a subtitle track
  • Download — Download the subtitle file

Using the Asset Manager from Editors

When you open the Asset Manager from an editor (e.g., to insert an image into a slide, or to set a cBook logo), it opens in selection mode:

  1. Browse or search for the file you need
  2. Click the file to select it
  3. Click Choose in the top bar to confirm your selection (or double-click the file)

The selected file is inserted into your content automatically.
